Facilities Project Management Case Studies
Excellus Lifetime Care
Genesee Region Home care and Via Health Home Care merged operations and are now known as Lifetime Care. the two companies consolidated their facilities into a newly renovated leasehold in Henrietta, NY. At the inceptino of the project, information on each of the 31 organizations that comprise Lifetime Health Care was gathered to determine headcount and space requirements. Working with representatives from each organization, the program was developed along with the schematic design. Managing the day-to-day details of the build-out included contant communication with the architect and construction manager. The result was a cost-effective conversion of a manufacturing building to a fully functional office space. Over one weekend, 550 personnel from two locations were relocated into this facility.
Rochester Police Department | Automated Field Reporting Project
The Automated Field Reporting (AFR) initiative was established with the intent to convert the most common RPD forms to electronic format. In tandem, the RPD adopted Incident Based Reporting (IBR), a process change from the previous Uniform Crime Reporting (UCR) system used by most policing agencies for decades. With these changes, the department would be able to capture, store, and reference significantly more fields of information for each incident reported. As the team designed new forms, each unit of the department was interviewed to determine how their business process would be enhanced or changed through this electronic reporting process. Consideration was given to each aspect to determine how wireless technology could provide quicker access to information without sacrificing the integrity or security of the data. Many hours were spent developing a system that would support a complex business that is required to meet many regulations, laws, general orders and guidelines. The system pilot was administered to a cross-functional group and then rolled out to the entire department over the course of one month.
Xerox Channels
Over four phases, 120,000 square feet of space for 570 personnel, five engineering labs, and a call center were constructed at this new leasehold for Xerox Corporation. The project was designed and implemented in four distinct phases, two of which made use of the design/build approach, and two using the traditional design/bid/build method. Our project manager lead the team of architects, engineers and construction contractors, overseeing aggressive schedules and the project budget. With the conclusion of each phase, operational departments were relocated into their new space. Our timely delivery maintained the productivity of the teams involved, ensured asset protection during the move, and provided an exceptional level of customer support throughout the entire project.
Carestream Health – Logistics
The warehousing and logistics operation of Carestream Health underwent a consolidation effort to reduce their footprint to 160,000 square feet. This resulted in the need to relocate parts and racking, move and reconfigure both industrial and employee workstations, supplies, printing and shipping areas. Vargas Associates led a team comprised of architectural, engineering, and construction professionals. Construction estimates were prepared, the team investigated and addressed building code requirements, assessed the potential need for asbestos remediation, prepared design drawings, and implemented the solution of customer choice. Throughout the project, we investigated multiple scenarios to ensure the project delivered the highest value for the dollars available.
Xerox CD & MG
The CD&MG group required a rapid response to a multi-faceted, domino driven project of 44 offices and 42 labs. After receiving high level lab requirements from the customer, we created a preliminary project budget to determine the feasibility of delivering the project within the funding available to support the project. After confirming their ability to proceed, our team gathered the detailed requirements which encompassed electrical, mechanical, plumbing, lab specific utilities, cabinetry and office furniture. Future locations were audited to determine the extent of changes required, and used to develop the Scope of Work for the union trades and contractors who delivered the project. Our on-site presence throughout the renovations ensured the project was delivered on time and within the customer’s budget.
Carestream Health – NDT Lab
Working with the Non Destructive Testing group of Carestream Health, our team managed the build-out of a new X-ray lab and the relocation of their operations from Carestream Headquarters in downtown Rochester, to their main manufacturing facility in Rochester. Working with the Architect and Construction Manager, we managed the day to day details needed to support the design effort and developed a scope of work that was suitable to the funding available. The lab build-out was completed within a four week timeframe and enabled the vacancy of the lab from a location that was required for other operations. The X-Ray equipment required the careful rigging of a 7,500 pound machine, which was re-certified for operation once it was re-installed in the new lab. The office relocation then followed, which included a customer training room for existing and perspective customers.
Wegmans Food Markets
Engaged by Wegmans Food Markets to provide Project Management support, we helped to manage the planning phase of a 64,000 square foot facility renovation, which previously served as one of their Food Markets. This conversion was intended to create Class A office space for 200 personnel and what would be the company’s first sustainable design. Our responsibilities focused on the daily coordination required to enable the documentation of existing conditions, programming, scope development, schematic design, site design, and cost estimating. The project presently awaits funding approval to enable the continuation of design and then construction build-out.
Consumer Credit Counseling Services of Rochester
Vargas Associates delivered our full suite of offerings to Consumer Credit Counseling Service which encompassed all of our services including Project Management, Interior Design, Move Management, and Decommissioning. This non-profit agency benefited from our cost conservative approach as we worked to keep project costs down. We made an impact with the creative use of paint and carpet. We used beautiful neutral paints combined with bold punches of color throughout the space, and through the introduction of curved cut- ins in the carpet. Wallcovering was used in the reception area and conference room to create inviting spaces. The wood tone of dark walnut on the doors , millwork and furniture provided a nice contrast to the neutral color palette. The new offices required the purchase of new furniture for the hard wall and open plan offices, call center, training room, conference room, and break room. Working with suppliers, we were able to specify selectively and enable the purchase of furniture that was under budget, but of a quality that exceeded original expectations. Once the space was completed, we managed the physical relocation into their new home, followed by the decommission of their previous site.
